Section 02:01 – Full Members

Full Members of the USS Veritas actively participate in STARFLEET International and hold a current STARFLEET International Membership, as outlined in the STARFLEET International Membership Handbook, are considered full members. Full members have the right to vote on all USS Veritas decisions during regularly scheduled business meetings.  Although we have a command staff, it is our practice to involve the entire crew in decisions that affect the group as a whole.

Full membership in the USS Veritas brings a range of benefits, including voting rights in both the chapter and STARFLEET International, access to exclusive group chats, participation in Discord discussions, and engagement in crew events, whether held remotely or in person. Members also enjoy the opportunity for promotions and securing ship positions. Additionally, STARFLEET International rights grant members the chance to participate in broader organizational decisions, shaping the direction of the collective STARFLEET International community.

As part of the membership package, individuals will receive the Chapter and STARFLEET newsletters, staying informed about the latest news and events. Furthermore, members have the privilege to participate in a broad range of auxiliaries, such as STARFLEET Marines, Medical, Sciences, Petfleet, and more, allowing them to explore various aspects of the Star Trek universe and engage with like-minded enthusiasts.

If full members fail to renew their membership, they still retain their USS Veritas status for 60 days after the renewal date. However, the Commanding Officer and Executive Officer must adhere to the requirements outlined in the STARFLEET Membership Handbook and these bylaws.

Section 02:02 – Ship Ambassadors

Ambassadors on the USS Veritas serve a pivotal role in promoting collaboration and understanding between our chapter and other organizations. It is essential to outline the expectations and responsibilities that accompany this esteemed position. Ambassadors are granted special access to private communication channels such as Discord. They may be invited to both virtual and in-person events and might even be asked to assist with various tasks or the chapter’s day-to-day operations.

Ambassadors, while esteemed representatives, are without voting privileges, emphasizing their impartiality in club matters. They are explicitly prohibited from actively promoting their home club within our chapter, ensuring that our community remains focused on our shared passion for Star Trek, science fiction, fandoms and cosplay.

Respect for the established rules of our club is paramount for Ambassadors. Their conduct should align with the principles of inclusivity and respect, fostering a positive atmosphere for all members.

Ambassadors are encouraged to file reports with the Executive Officer (XO), offering valuable insights into ongoing collaborations, challenges, and potential areas for improvement. This transparent communication ensures that our interclub relationships remain dynamic and constructive.

Additionally, Ambassadors may be called to share their experiences and provide insightful perspectives related to interclub relations during crew meetings. This enriches our discussions and enhances the overall Star Trek community experience.

All potential ambassadorial candidates will undergo a thorough vetting process by the Commanding Officer (CO) and Executive Officer (XO), ensuring that those selected embody the values and ethos of the USS Veritas. It is important to note that no external organization or club can unilaterally “assign” an ambassador to our chapter, preserving our autonomy and ensuring the selection of Ambassadors who align with our community’s vision.

Section 02:03 – Vote of No Confidence and Election Process

Here aboard the USS Veritas, we value transparency and accountability in our leadership structure. The appointment of the Commanding Officer (CO) and Executive Officer (XO) is determined by a democratic vote among our ship’s full members.

To address concerns and align leadership with our organization’s values, any ship member can initiate a vote of no confidence for the CO and/or XO. This motion requires a minimum of 66% + 1 vote to pass. If successful, elections for a new CO and/or XO will follow.

Upon electing the ship’s new leadership, a two-week transition period begins. During this time, the outgoing leadership facilitates the smooth transfer of accesses, email and social media page credentials, if applicable, to the newly elected CO and/or XO. This ensures a seamless and peaceful transition of responsibilities.

After the 14-day transition, the newly elected CO and/or XO officially assume their roles, bringing fresh perspectives to the USS Veritas’s leadership. This process reflects our commitment to responsive governance and ensures our organization can adapt and thrive under leaders who represent the collective voice of our dedicated members.

Section 02:04 – Meetings

General Meetings

The USS Veritas as a chapter within STARFLEET International will hold general meetings of the Chapter membership bi-monthly (every other month) and be announced on all chapter-used platforms. The ship’s leadership will do their best to notify the crew ahead of time for any event requiring attendance.

Command Staff Meetings

Command Staff meetings will be held, exceptionally, in the case of force majeure, if needed, and if time permits. Most directives and orders will be given either via Discord #bridge, #the-ready-room, and/or email.

Section 02:05 – Away Missions

In the exploration of uncharted territories and encounters with new civilizations, STARFLEET crews often find themselves engaged in “away missions”. These excursions are essential for gathering valuable data, establishing diplomatic relations, and addressing unforeseen challenges.

Within the scope of our chapter, an “away mission” is defined as crew members taking time off for various reasons, including vacation, attending conventions, participating in events, and more. Moreover, these away missions may encompass collective participation in events like Comic-Con, which our chapter attends together when feasible. It is worth noting, however, that attendance is not obligatory due to the considerable distances involved.

Before embarking on an away mission, crew members are encouraged to formally request a shuttlecraft. This request should include the purpose of the mission, the number of personnel involved, and any specific equipment or resources needed.

Continuous communication with the ship is of utmost importance during away missions. Crew members are encouraged to maintain regular check-ins with the ship (via text message or discord channel) and report any significant developments or issues. Holoimages are always welcome!

By adhering to these protocols, we ensure the safety and effectiveness of away missions, fostering a culture of exploration, collaboration, camaraderie and continuous learning among our crew. Crew members are always connected!
